Policy

The privacy of our staff, candidates, clients, contractors, suppliers and stakeholders is extremely important to us. Contract Personnel are firmly committed to protecting the privacy and personal information obtained through its operations. Contract Personal is bound by the Privacy Act 1998 (Cth) including the Australian Privacy Principles and any relevant privacy code registered under the Privacy Act.

This policy discloses our information gathering and dissemination practices.

Definitions

Personal information includes a broad range of information, or an opinion, that could identify an individual. What is personal information will vary, depending on whether a person can be identified or is reasonably identifiable in the circumstances.

Sensitive information is personal information that includes information or an opinion about an individual’s:

  • racial or ethnic origin
  • political opinions or associations
  • religious or philosophical beliefs
  • trade union membership or associations
  • sexual orientation or practices
  • criminal record
  • health or genetic information
  • some aspects of biometric information

If any form of sensitive information is required to perform our service, and it does not conflict with existing Contract Personnel policy, we will request this from the candidate directly and only submit it with their permission.

Collection and storage of information?

When candidates engage Contract Personnel to assist them find and secure employment, they will be required to provide appropriate personal and sensitive information which is necessary to carry out this task.

This information will be stored on the Contract Personnel Customer Relationship Management system, Payroll Systems and secure data storage device.

The type and nature of the information we collect will vary depending on whether you are candidate, staff, client, candidate referee or supplier.

Prospective candidate information that we retain for the purpose of finding employment includes:

  • Contact details
  • Qualifications, licences, accreditation
  • Work History
  • Right to work in Australia (VEVO)
  • Referee feedback and opinions
  • Interview notes
  • Communication notes (email, text, phone conversations)

Contract Personnel staff and candidates placed in contract roles will have supplied the following information to process wages:

  • Bank account details
  • Tax File Number (TFN)
  • Superannuation details
  • Company details (for those who are paid through their own business)
  • Information related to specific deductions and payments (salary sacrifice, child allowance)

From time to time, Contract Personnel will be required to collect additional information to assist them with the
recruitment process which could include the following checks for prospective candidates or staff:

  • Health details such as medical assessment
  • Criminal check
  • Professional memberships

Contract Personnel will not disclose the above-mentioned information to a third party without prior consent of
candidates.

Information collected and retained for clients, suppliers and referees will be based on their relationship with Contract Personnel and may include the following:

  • Contact details
  • Bank account details
  • Meeting and communication notes
  • Performance feedback on a current or previous employee

Purpose of your information

Contract Personnel will only use the information necessary to fulfil the following:

  • assess a candidate’s suitability for work opportunities (current or prospective)
  • assist candidates to find suitable employment
  • assist clients with their current and future recruitment needs
  • process wages through our payroll systems
  • support our stakeholders through candidate care and client customer service communication
  • comply with our legal requirements and reporting

Disclosure of your information

Contract Personnel may be required to disclose your personal and sensitive information to:

  • Existing and potential clients and employers of Contract Personnel
  • Candidate referees
  • Training and educational facilities to verify training and accreditation qualifications
  • Former employees
  • Australian tax office
  • Nominated Superannuation fund
  • Workers Compensation
  • Employee Assistance Program facilitator
  • Our insurers
  • Any person, Government Department or agency with a lawful entitlement to obtain your information

Contract Personnel Website

When you visit the Contract Personnel site, our server logs information which is provided by your browser. This information is used to create summary statistics which allow us to assess the number of visitors to the different sections of our site, discover what information is most and least used, determine technical design specifications, and help us make our site more useful to visitors. The information logged is as follows:-

  • the type of browser you are using
  • the date and time of your visit
  • your top-level domain name (for example .com, .gov, .au, .uk etc)
  • the address of the referring site
  • your server’s IP address (a number which is unique to the machine through which you are connected
    to the Internet: usually one of your service provider’s machines)
  • the address of the pages accessed, and any documents downloaded

No attempt will be made to identify users or their browsing activities, unless disclosure is required by law or due to a mandatory requirement of a Court, Governmental Agency or Regulatory Authority. We use the information only for statistical analysis or systems administration purposes.

Cookies

A cookie is an electronic token that is passed to your browser and your browser passes it back to the server whenever a page is sent to you. We do not use cookies to collect personal information or to track your activities.

This site contains links to external/third party websites for the convenience of our visitors. However, Contract Personnel have any knowledge of, nor control over, the privacy practices of these websites and has no knowledge of whether cookies or other tracking devices are used on linked sites. You visit these websites at your own discretion.

Information security

The security of your personally identifiable information is especially important to us. When we collect your personally identifiable information online, we use reasonable efforts to protect it from unauthorised access. However, due to the inherent open nature of the internet, we cannot guarantee that your information will be completely free from unauthorised access by third parties such as hackers and your use of this service will demonstrate your assumption of this risk.

We have put in place reasonable physical, electronic and managerial procedures to safeguard the information we collect. Only those Contract Personnel employees who need access to your information in order to perform their duties are authorised to have access to your personally identifiable information.

Updating and accessing information

Contract Personnel will undertake reasonable steps to ensure the personal information of all staff, candidates, clients, contractors, suppliers and stakeholders are accurate, complete and up to date. Individuals can request access to their personal information and notify us of any changes or modifications necessary by contacting Contract Personnel with their request or changes in writing to the contact details below.

Policy Review

All policies will be reviewed every two years unless changes to legislation require that time frame to be brought forward. On completion of review and the necessary updates to policy, the latest version will be distributed to all Contract Personnel employees.

Effective from

This policy is effective from 16 June 2023 and replaces all previous Privacy policies issued by Contract Personnel.
